ProTribe is a senior-led talent and HR consulting firm providing executive search, talent acquisition and staffing, talent market intelligence, GCC talent growth, learning and capability building, talent advisory, and fractional HR & RPO services. In providing these services, we act as a Data Fiduciary under the DPDP law — meaning we determine the purpose and means of processing personal data.

This notice applies to personal data we process about: (a) candidates and prospective candidates whom we source, assess, represent or place; (b) client and prospective-client representatives we engage with; (c) visitors to our website and people who contact us or join our talent network; and (d) our vendors, partners and referees. It covers data collected through our website, our applicant tracking system, email and phone, in-person and virtual meetings, assessments, and publicly available professional sources.

Where we process personal data on behalf of and under the instructions of a client (for example, when managing their recruitment process), we may act as a Data Processor for that client; in those cases the client’s own privacy notice also applies.

We collect only the data we need for the purposes set out in this notice. Depending on your relationship with us, this may include:

Candidates

Name, contact details (email, phone, address), CV/résumé, employment and education history, skills, current and expected compensation, notice period, work authorisation / eligibility to work, references, interview and assessment results, and any information you choose to share with us.

Assessment data

Results and reports from psychometric and leadership assessments (for example MBTI, Hogan, FIRO-B, DiSC, TKI, Belbin and emotional-intelligence instruments) where an assessment is part of a mandate and you have consented to it.

Client contacts

Name, job title, business contact details, and information exchanged in the course of delivering our services.

Website visitors

Information you submit through forms (e.g. applications, talent-network sign-ups, enquiries) and technical data such as IP address, device/browser type and usage data collected via cookies and similar technologies.

Vendors & partners

Contact and business details necessary to manage our working relationship.

We do not seek to collect special or sensitive categories of data beyond what is necessary for a specific, consented purpose. Please do not send us data such as government identifiers, health information or financial-account details unless we specifically request it for a defined purpose (for example, onboarding a placed candidate).

Directly from you — when you apply for a role, share your CV, join our talent network, fill in a form, or communicate with us.

From our clients — who may refer you or share your details in connection with a mandate.

From publicly available professional sources — such as professional networking platforms and public profiles, for executive search and market-intelligence work.

Through referrals — from mutual contacts or referees, with a lawful basis to do so.

Automatically — through cookies and analytics when you use our website (see Section 6).

Under the DPDP law we process personal data on the basis of your consent, or for certain legitimate uses permitted by law. We use your data to:

Provide recruitment, executive search and staffing services — assessing suitability, presenting you to clients, and managing the hiring process.

Deliver talent market intelligence, advisory, learning and fractional HR & RPO services to our clients.

Contact you about relevant opportunities, and (with your consent) keep you informed through our talent network.

Respond to enquiries and manage our relationship with clients, candidates, vendors and partners.

Operate, secure and improve our website and services.

Comply with legal, regulatory and contractual obligations, and establish or defend legal claims.

Where we rely on consent, you may withdraw it at any time (see Section 9). Withdrawing consent will not affect processing carried out before the withdrawal.

Our website uses cookies and similar technologies to make the site work, remember your preferences, and understand how the site is used so we can improve it. You can control non-essential cookies through our cookie banner and your browser settings; essential cookies are required for the site to function. Declining non-essential cookies will not stop you from using the core parts of the site.

If we use third-party analytics or embedded media (for example, the Founder welcome video), those providers may set their own cookies subject to their privacy policies.

We do not sell your personal data. We share it only as needed to deliver our services and run our business, with appropriate safeguards and confidentiality obligations in place:

Clients — where you are a candidate, we share relevant details with the client for the specific mandate, with your knowledge.

Service providers (Data Processors) — including our applicant tracking system, Zwayam (a Naukri / Info Edge product), and providers of assessment tools, cloud hosting, email, and website analytics, who process data on our instructions.

Professional advisors — such as legal, accounting and audit advisors, where necessary.

Authorities — where required by law, regulation, court order, or to protect our rights and safety.

Business transfers — in connection with a merger, acquisition or reorganisation, subject to this notice.

ProTribe serves clients and candidates in India and internationally, and some of our service providers may process data outside India. Where we transfer personal data across borders, we do so in accordance with the DPDP law and any restrictions notified by the Central Government, and we take reasonable steps to ensure your data remains protected to the standard described in this notice.

We keep personal data only for as long as necessary for the purposes set out in this notice, or as required to meet legal, tax, regulatory and contractual obligations. Candidate data is retained for the duration of active engagement and for a reasonable period afterwards so we can consider you for suitable future opportunities — unless you ask us to erase it sooner. When data is no longer needed, we securely delete or anonymise it.

Indicative retention period for candidate profiles held for future opportunities: 24 months from your last interaction with us, after which we review and delete or re-confirm your consent.

Subject to the conditions in the DPDP law, you have the right to:

Access — obtain a summary of the personal data we process about you and how we process it.

Correction & completion — have inaccurate or incomplete data corrected, completed or updated.

Erasure — ask us to delete your personal data where it is no longer required and we are not legally obliged to keep it.

Withdraw consent — withdraw any consent you have given, at any time and as easily as you gave it.

Grievance redressal — raise a complaint with us about how we handle your data (see Section 12).

Nominate — nominate another individual to exercise your rights in the event of your death or incapacity.

We will respond within the timelines required by law and, in any case, will acknowledge and work to resolve requests promptly and without undue delay.

Response time

We will respond to grievances within the period required under the DPDP Rules, 2025 (and in any event no later than 90 days).

If you are not satisfied with our response, you have the right to lodge a complaint with the Data Protection Board of India, established under the DPDP law.

Our services and website are intended for professionals and are not directed at children. We do not knowingly process the personal data of a child (under 18) or of a person with a disability who has a lawful guardian without verifiable consent from the parent or lawful guardian, as required by the DPDP law. If you believe we have inadvertently done so, please contact us and we will take appropriate action.

We maintain reasonable technical and organisational safeguards designed to protect personal data against unauthorised access, alteration, disclosure or destruction, and we require our service providers to do the same. In the event of a personal-data breach, we will notify the affected individuals and the Data Protection Board of India in the manner and within the timelines required by the DPDP Rules, 2025.

We may update this Privacy Notice from time to time to reflect changes in our practices or the law. The “Last updated” date at the top shows when it was last revised. Where changes are significant, we will take reasonable steps to bring them to your attention.
